Introduction

EC Human Resources is committed to protecting UK data. Clients and potential clients must provide personal data for contact purposes, especially when using our website for further details regarding the HR services and regular newsletters with information which all employers need to know.

Personal Data processing shall always be in line with the UK General Data Protection Regulation (UK GDPR), and by the UK’s specific legislation applicable to EC Human Resources. Through this policy, we aim to inform our new and existing clients about the reasons behind our data collection. Additionally, we process personal data in accordance with the rights of Data Subjects, which enables us to complete the requested work.

This policy outlines the protocols established by EC Human Resources regarding privacy and electronic communications, particularly concerning marketing activities. It is designed to ensure compliance with the Privacy and Electronic Communications Regulations while maintaining transparent communication with our new and existing clients.

 

Marketing Activities

EC Human Resources engages in a variety of marketing initiatives aimed at promoting, training, HR Policies and Procedures, Succession Planning and other services available to our new and existing clients. Marketing channels include mobile text messaging, social media messaging and email communications.

Our direct marketing avenues are to include EC Human Resources, whereby EC Human Resources encourages new clients to use our services, and our existing clients will be reminded of the other services that are available to them.

Therefore, the avenues consist of

  • Networking Events/Groups
  • Social media campaigns
  • Mobile phone text/WhatsApp messages

 

Campaign Guidelines

To ensure a respectful and non-intrusive approach, we will conduct marketing campaigns at specific times, carefully selected to avoid unnecessary disruptions. Furthermore, we limit our marketing outreach to a specified number of campaigns within 12 months to prevent overwhelming our audience with too many communications.

EC Human Resources will benefit from the marketing campaigns; therefore, all guidelines will be adhered to. As part of our campaign, we will provide 3 emails per month from each, should you opt into both EC Human Resources and the HR Chest App. Connections on LinkedIn may have limited access to information unless they choose to register through the website.

All marketing campaigns will include our company logo and full contact details, whereby, should they wish to call us or email us directly, they can do so. The contents of our marketing campaigns cover all of the services that we offer and updates within the law regarding managing your staff correctly.

However, we do not ask or encourage you to forward our details to friends and family members as a way of collating more email addresses for our marketing campaigns.

 

Opt-Out/Unsubscribe Provision

Newer clients and existing clients have the right to opt out of receiving marketing communications at any time. This can be achieved easily through a direct request via email or text, and we will promptly respect and implement any cancellation requests to ensure a seamless experience for all our clients.

EC Human Resources keeps a ‘do not contact’ register of newer clients and existing clients who have unsubscribed/opted out to ensure we respect their request. New clients and existing clients who register with the marketing preference service will be included unless they inform us otherwise. Ex-clients will also be excluded from our marketing campaigns as we will no longer have a reason to contact them.

The only exception to this rule is when we are contacting previous clients who have returned to us regarding our services that they have received from us in the past. In these cases, we ensure that they are provided with an easy opt-out option at the time they share their contact information, allowing them to unsubscribe if they choose

EC Human Resources has a secure system in place to store our users’ information, whether that be encrypted electronic files in the cloud or paper-based, locked away. However, we will make it our duty to minimise the use of paper in the office so that electronic notes are encouraged.
